Visibility, first and biggest

The first thing software adds is that the balance stops being a question. An employee who can see their own accrued and remaining figure does not ask, and the person maintaining the sheet gets back the interruptions. This sounds minor and is usually the single largest change, because those interruptions are the reason the record is out of date: the owner of the sheet is answering rather than updating. Everything else on this list is smaller than it.

The approval that moves the balance

In a spreadsheet the request and the record are separate: somebody says yes in email and somebody else edits a cell, later, from memory. Time off management is really this join. When the approval is the thing that moves the balance, the record cannot drift, and the audit question, who approved this and when, has an answer that is not a mailbox search. A time off app aimed at employees will do the first item on this list well and the second only partly. If the employer side is a spreadsheet export, you have moved the visibility problem and kept the record problem. The test when comparing is to ask where the accrual rules live, whether the year end runs by itself, and whether an administrator can correct a balance and leave a trace of the correction. If the answer to the third is that they edit a number, it is a sheet with a login.

When is a spreadsheet no longer enough for time off?

When employees ask for balances more than occasionally, when approvals happen somewhere the record does not see, and when one person is the only one who can change the sheet. Any two of those together is usually the point.

What is the difference between time off software and PTO software?

None in practice; they are the same category under two names. Time off is the broader word and is used where sick, unpaid and holiday time are tracked alongside vacation.
